HR Administrator (Reward and Recruitment)

In this role you will provide comprehensive administrative support in two key areas of HR.

You will work closely with the Deputy Director of HR and colleagues in the HR Operations team to support aspects of the University’s reward processes, for example promotion and pay progression schemes, staff benefits schemes. You will also work with colleagues in the HR Recruitment team to contribute to recruitment administration and a high quality job applicant experience.

Main duties

Main duties

Reward administration:

1. To provide administrative support to the Deputy Director of HR for Reward related projects, this may include assisting with internet searches, collating information, circulating draft materials and collating feedback, assisting with updating and circulating documents.

2. To assist with the formatting and uploading of Reward related documents to the HR pages of the University website.

3. To provide administrative support for the University’s promotions and pay progression processes, including collating employee applications and creating appropriate outcomes correspondence.

4. To provide administrative support for panel meetings and other Reward related events, including room/venue bookings, corresponding with panel members and attendees, booking refreshments, preparing and distributing papers.

5. To assist with updating the HR database with the agreed outcomes of promotions and rewards processes.

6. To assist with the maintenance of the University’s hard copy employee HR records, filing and archiving.

Recruitment administration:

7. To provide a first point of contact for job applicants, managers and colleagues, responding to queries or signposting to relevant information; escalating to a relevant HR colleague as appropriate.

8. To upload job descriptions to the University job opportunity pages.

9. To download job applications from the University job opportunity system and prepare shortlisting packs for recruiting managers.

10. To assist with generating interview schedules, invitations to interviews and other related correspondence.

11. To assist with preparing interview packs for recruiting managers and panel members, collating and distributing in a secure and timely manner.

12. To assist with booking suitable venues and University rooms, equipment, catering and refreshment orders for interviews and selection events.

13. To assist with the maintenance of up to date job vacancy records and equal opportunities data.

14. To assist with the archiving of recruitment records.

General:

15. To contribute ideas and suggestions for improving HR processes and procedures, assist with the documentation of processes and procedures, and uploading to the HR web pages.

16. To work at all times with absolute integrity and professionalism, maintain confidentiality and work within the University’s guidelines and policies for data protection and information security.

17. To contribute to student related activity, for example University Open Days, Worcester Weeks etc.

Essential Criteria

1. Experience of providing administrative support in an office environment.

2. Comprehensive range of IT skills, including MS Word and Excel, accurate data entry skills, and aptitude to learn new systems quickly.

3. Ability to work to deadlines, prioritising tasks and liaising with colleagues as necessary to keep relevant parties informed of progress.

4. Ability to work with a high level of accuracy and attention to detail.

5. Ability to communicate clearly both orally and in writing, including coherent sentence construction and grammatical accuracy.

6. Good interpersonal skills with experience of liaising with a range of internal and external contacts in a polite and diplomatic manner.

7. A flexible and proactive approach with the ability to make a positive contribution to a team environment.

8. An understanding of relevant working practices to ensure secure storage of information and that confidentiality of information is maintained.
